Who we are
TECHAIVV Technologies (“TECHAIVV”, “we”, “us”) is the controller of the personal data described in this policy. Our registered office is at registered office address.
If you have any question about this policy or how we handle your data, email privacy contact email or use our contact page. If a Data Protection Officer or EU/UK representative is appointed, add their contact details here.
The personal data we collect
We collect only what we need for the purposes below:
- Enquiry details you give us through our forms: your name, work email, phone number, company, job title, the service you are interested in and your message, together with the page you sent it from.
- Communications: emails, calls and meeting notes when you or your organisation work with us.
- Job applications: your CV, contact details, work history and any information you choose to share when applying for a role.
- Technical data: IP address, browser type, device and pages requested, recorded by our hosting provider’s server logs to keep the website secure and working. When you send a form, Cloudflare Turnstile also reads browser and device signals to confirm you are not a bot.
- Cookie data: your cookie choice and, only if you allow them, analytics and marketing cookies. See our Cookie Policy.
We do not ask for special category data (such as health or religious beliefs). Please do not include it in your messages.
How we use your data and our lawful basis
Under the GDPR and UK GDPR we must have a lawful basis for each use of your data:
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry and arranging a consultation | Taking steps at your request before entering a contract, and our legitimate interest in responding to business enquiries |
| Delivering services to our clients and managing the relationship | Performance of a contract, and legitimate interests |
| Assessing job applications | Taking steps before entering a contract of employment, and legitimate interests |
| Keeping the website secure and working (server logs, necessary cookies) | Legitimate interests |
| Analytics and marketing cookies | Your consent, which you can withdraw at any time |
| Sending you news or updates, where you have asked for them | Your consent |
| Meeting legal, tax and accounting obligations | Legal obligation |
Where we rely on legitimate interests, we have balanced them against your rights. You can ask us for details of that assessment.
Cookies
We use strictly necessary cookies to run the website. Analytics and marketing cookies are used only if you accept them in the cookie banner. Full details are in our Cookie Policy.
Who we share your data with
We do not sell your personal data. We share it only where needed, with:
- Service providers who process data for us under a written contract, such as website hosting (hosting provider), enquiry storage and email (Google Workspace, which holds enquiries in a Google Sheet and sends our emails), and spam protection on our forms (Cloudflare Turnstile, which checks that a form is sent by a person rather than a bot).
- Other companies in the TECHAIVV group, where they help deliver the service you asked about.
- Professional advisers, regulators, courts or law enforcement, where the law requires it or to protect our legal rights.
- A buyer or successor, if our business is reorganised or sold, under the same protections.
International transfers
Our teams and some of our service providers are based outside the UK and the European Economic Area, including in countries, e.g. India. When we transfer personal data there, we protect it with an adequacy decision or the European Commission’s Standard Contractual Clauses (and the UK Addendum), together with any additional safeguards needed. You can ask us for a copy of these safeguards.
How long we keep your data
| Data | How long we keep it |
|---|---|
| Enquiries that do not lead to a contract | 24 months after our last contact |
| Client and contract records | The length of the contract plus 6 years for legal and tax purposes |
| Job applications | 12 months after the role is filled, unless you agree to a longer period |
| Server logs | 90 days |
| Your cookie choice | 6 months, after which we ask again |
When the period ends we delete the data or make it anonymous.
How we protect your data
We use technical and organisational measures to protect your data, including encryption in transit, access controls limited to the people who need it, and contracts that oblige our suppliers to do the same. If a personal data breach is likely to put your rights at risk, we will tell you and the relevant authority as the law requires.
Your rights
Under the GDPR and UK GDPR you have the right to:
- Access the personal data we hold about you and get a copy of it.
- Correct data that is inaccurate or incomplete.
- Ask us to delete your data.
- Restrict how we use your data.
- Receive your data in a portable format, or have it sent to another organisation.
- Object to our use of your data based on legitimate interests, and to direct marketing at any time.
- Withdraw your consent at any time, without affecting what we did before you withdrew it.
- Not be subject to decisions based solely on automated processing. We do not make such decisions.
To use any of these rights, email privacy contact email. It is free, and we will reply within one month. We may need to confirm your identity first.
Complaints
If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to a data protection authority, such as the authority in the EU country where you live or work, or the Information Commissioner’s Office (ICO) in the UK.
Children
Our website and services are intended for businesses and are not directed at children under 16. We do not knowingly collect their data.
Changes to this policy
We may update this policy from time to time. The latest version is always on this page, with the date it was last updated (1 October 2026). If we make significant changes, we will tell you.
